Integration privacy notice.

Aquila Veritas Pte Ltd operates this private integration to access authorized QuickBooks company details and chart of accounts for accounting work requested by its authorizing clients. Each client must authorize access to its own QuickBooks company.

Information processed

The integration stores the selected QuickBooks company ID, company name, encrypted OAuth credentials, and connection confirmation. It retrieves company details and accounts only when an authenticated operator requests them. The application does not persist retrieved financial responses or use them for AI training or marketing.

Access and security

Access requires an operator sign-in. OAuth credentials are encrypted at rest with a separate server secret. Intuit processes sign-in and consent. The integration runs on a Hostinger VPS in Kuala Lumpur, Malaysia. Hostinger processes the hosted service and retains server backups separately from the VPS. The existing weekly backup is listed in India. The current schedule is weekly; Hostinger’s published retention keeps the two most recent weekly backups and replaces the oldest as a new backup is created. Intuit processes its own authentication and API services; their processing locations are governed by Intuit’s terms. No additional backup service is purchased by this integration.

Retention and disconnection

The active token record is retained while connected. A successful disconnect revokes the Intuit authorization and removes that record. A prior encrypted connection record may remain in a weekly server backup until that backup is replaced. A successful Intuit revocation also invalidates the revoked authorization in backup copies. Backup restoration must not reactivate a disconnected client: the operator must check current client authorization before using restored records. Contact support for deletion requests requiring review of retained copies. Browser sessions expire after 30 minutes. Login rate-limit counters expire after five minutes.

AI-assisted analysis

Aquila Veritas intends to use OpenAI Codex to assist with client-specific accounting analysis, with human review. The current portal makes no direct AI-service calls. Before any client accounting data is shared with Codex, Aquila Veritas must obtain the client’s authorization, establish the applicable OpenAI account data-handling settings, and document the resulting retention controls. Aquila Veritas will not use client QuickBooks data to train or improve AI models, and will require model-training and voluntary data-sharing options to be disabled for the Codex account used for client data. Client data must not be reused for another client’s benefit.
